INTRODUCTION TO OUR PRIVACY POLICY

We are League of Scholars Pty Limited ABN 82 167 417 414, an Australian corporation.

This Privacy Policy explains who we are and how, when and why we collect and manage personal information about individuals.

The purpose of this Privacy Policy is to describe how we collect and use data, including personal information, in the course of our business and through our website, and to show how we comply with applicable privacy laws.

We are committed to protecting individuals' privacy and ensuring that all personal information that we collect is collected by lawful and fair means and handled in accordance with applicable privacy laws and this Privacy Policy.

We implement processes and safeguards that have been designed by us to meet the privacy and data protection laws applicable to our business. These processes and safeguards focus on privacy by design and default, information security, and minimisation of collection, handling and disclosure of personal information of individuals to that reasonably required to enable conduct of our business.

WHAT WE DO

Our mission is to assist our clients, being universities and other educational institutions, to find outstanding scholars that appear to be a good match for academic positions available at those clients.

When a client requests us to find a good match for an academic position available at the client, we search publicly available (internet accessible and published) profiles of scholars, and publications of scholars. We then apply advanced data analytics methodologies and algorithmic processes to our search results and produce a list of prospective candidates that we provide to our client.

That list may also include contact details for the prospective candidate, to the extent that these contact details have been made available in publicly available profiles of scholars or the scholars' publications of scholars.

Our client will review that list and decide whether the client wishes to contact the scholar as a prospective candidate for an available position that appears a good match to the scholar's profiles and publications.

We generally do not contact the scholar ourselves, because we rely upon publicly available scholar's profiles and publications as our source material, and as we provide a list of prospective candidates to our client who decides whether to contact scholars on that list.

In the course of conduct of this business, we may also collect other personal information relating to individuals, as described below in this Privacy Policy.

OUR PRIVACY COMMITMENTS

We will comply with this Privacy Policy.

In relation to personal information and sensitive information relating to individuals, we will also comply with Privacy Laws.

Personal information is information or an opinion about an individual who is identified or is identifiable.

Sensitive information includes information or an opinion about an individual's race or ethnic origin, political opinions, membership of a political association, religious beliefs or affiliations, philosophical beliefs, membership of a professional association, trade association or a trade union, sexual orientation and sex life, criminal record, and certain biometric data. Sensitive Information also includes health and genetic information about an individual.

We will only collect or handle sensitive information relating to scholars if that information has been published in publicly available (internet accessible and published) profiles of scholars or their publications.

Privacy Laws are the Privacy Act 1988 (C'th of Australia), including the Australian Privacy Principles (APPs) (which apply to League of Scholars as an APP entity), and other privacy and data protection laws which apply to our business.

We are an APP entity regulated by provisions of the Privacy Act 1988 (C'th of Australia). Our collection, use, handling and disclosure of personal information and sensitive information relating to individuals must comply with that statute. Privacy rights of individuals conferred by that statute apply regardless of the location of those individuals or where they reside.

This Privacy Policy does not apply to our clients or other third parties. Each client and each provider of data to League of Scholars is responsible for providing and complying with its own privacy policy and complying with privacy and data protection laws applicable to them. Please refer to the privacy policy, statement or notice of the entities with whom you engage, or whose internet sites, mobile applications and other online services you access, to learn how they collect and use information about you.

THE PURPOSES FOR WHICH WE COLLECT PERSONAL INFORMATION

We collect and handle personal information as follows:

If you are a scholar When a client requests us to find a good match for an academic position available at the client, we search publicly available (internet accessible and published) profiles of scholars, and publications of scholars, to then analyse our search results and produce a list of prospective candidates that we provide to our client. If you are a scholar, your publicly available profiles of scholars, and publications, may be used by us to determine whether to include you in a list of prospective candidates for an academic position available at our client. That list may include information derived from those searches. That list may include your contact details, if these contact details have been made available in publicly available profiles of you or your publications.
If you are a client or ours (or you work for a client of ours) We may collect your individual contact and related information to enable us to communicate with you in relation to the provision of services by us (for example, in relation to the management and administration of the provision of the relevant services) and other personal information relating to you to in the course of providing the services concerned (for example, bank account or other financial details, personal description and photograph and other information relating to you that is included in any communications between us and you or anyone you work with in the course of provision of the services).
If you provide products or services (or you work for, or are agent for, someone who supplies products or services) to us or to any of our clients We may collect your individual contact information to enable us, our clients or other suppliers of ours or our clients to communicate with you in relation to the provision of products or services by you or the person that you work for (for example, in relation to the management and administration of the provision of the relevant products or services) and other personal information relating to you to in the course of provision of the products or services concerned.
If we are assessing your suitability or ability to provide products or services to us or to any of our clients We may collect relevant personal information relating to you to the extent necessary to enable that assessment to take place - for example, if we need to assess or confirm your age, your right to work in the jurisdiction, your skills and previous experience, your qualifications or whether there is anything (for example, relating to your past history, your health or your conduct or reputation) that would adversely affect your suitability or ability to provide the products or services concerned. This will be explained to you in more detail at the time we collect the personal information and, where appropriate, will be subject to your prior consent.

If you are a public official, otherwise act in official capacity, work for a public body, are a journalist or otherwise involved in the media and we need to contact you in the course of providing public relations or related services for our clients We will collect your contact details to enable us to communicate with you on behalf of or in relation to our clients.
If you browse any of our websites We may collect information on your visits to our website and how you move around different sections of our website for analytics purposes to understand how people use our website so that we can make it more intuitive. We may keep a record of the content on our website that you have clicked on and use that information to target advertising on this website to you that is relevant to your interests and which we have identified based on content you have looked at.
If we wish to send you advertising, marketing or promotional material We may collect your individual contact details in order to send you direct marketing material in order to advertise, market or promote our services (either to you or the person that you work for, as appropriate). We may combine this with other information we obtain about the things you are interested in and that are relevant to the services provided by us (for example, when you browse our website and view particular content) in order to help us ensure that marketing material that we send you is relevant to what you are interested in.
If you apply for a position with us We may collect personal information in relation to you in connection with any application by you for a position with us. In that case, we will explain in more detail at the time how and for what purposes we intend to process the relevant personal information.
If you are a customer or other contact of any of our clients If requested to do so by a client, we may collect your individual contact information or other information relevant to your dealings with, or of other relevance to, our clients (for example, products or services that you have obtained from our client or relevant social media interaction relevant to our client) for the purpose of contacting you on our client's behalf. In doing this, we will normally be acting as a data processor on behalf of the relevant client, and any processing of personal information by us will be solely in accordance with our client's instructions and under our client's control.

WHERE WE HANDLE AND HOLD PERSONAL INFORMATION

Where necessary to provide our services (for example, when providing services in relation to an international campaign), we may share relevant personal information with service providers to us, or clients, that are located outside Australia, but only to the extent necessary in order to provide the services concerned.

Where personal information that is protected by Privacy Laws is transferred or otherwise handled on our behalf outside Australia, we will take such steps as are reasonable in the circumstances to ensure that the entity receiving and handling that personal information complies with the Privacy Act 1988 (C'th of Australia), including the Australian Privacy Principles.

SECURITY OF PERSONAL INFORMATION

We will take such steps as are reasonable in the circumstances to protect personal information from misuse, interference or loss, and from unauthorised access, modification or disclosure.

We take appropriate industry recognised steps to protect personal information that we hold, including use of technologies and processes such as access control procedures, network firewalls, encryption and physical security. Any payment transactions administered by us will be encrypted using appropriate technology.

Where we have given you (or where you have chosen) a password which enables you to access certain parts of our website or systems, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

We retain personal information after we have used the personal information for the purposes for which we collected or received it.

If we retain such personal information, it will only be used for the following purposes:

  1. as required by or under Australian law, or a court / tribunal order;
